Step 5.1a — Shipper Direct Payment Receipt (Path B Self-Finance, Off-Platform)

Triggered from: Step 4.6a when a Path B Shipper pays against the Forza-direct invoice. Next step: Step 5.2 — Payment Matching

Note

Path B: The Shipper pays Forza directly — not HaulPay. No factoring fee, no reserve holdback, no HaulPay intermediary. Full invoice amount arrives in Forza’s account.

🎯 Ideal State

How Payments Arrive

ChannelHandling
ACHDirect to Fifth-Third-Bank using Forza’s remit-to from Step 4.6a invoice
WireDirect to Fifth-Third-Bank
CheckMailed to Forza address, deposited manually

Concetta’s full bank visibility is critical for Path B because there is no remittance email from HaulPay flagging the deposit — Accounting must see the deposit land in Fifth-Third-Bank to know payment arrived.

Expected Timing

Per Step 4.6a, Path B Shippers are on Net 15 terms (shorter than factored Net 30). QBO AR aging flags loads approaching or exceeding Net 15.

What Accounting Does at Path B Payment Receipt

  1. Confirm deposit landed in Fifth-Third-Bank (requires full bank portal access).
  2. Match deposit to a specific load/invoice.
  3. Record payment in QuickBooks-Online against the invoice.
  4. Close the invoice in QuickBooks-Online.
  5. Update AR aging — Shipper’s outstanding balance reduces.

Non-Payment Collection Cadence

If a Path B Shipper does not pay within Net 15 terms:

DayAction
Day 1Friendly reminder email from Accounting
Day 8Phone call plus follow-up email
Day 15Credit hold placed on Shipper — prevents new load bookings until paid. Nick notified (can lift if chooses).
Day 30Formal demand letter from Accounting, escalated to Nick
Day 60Consider collections agency referral or legal review

Credit hold authority: Concetta places the hold; Nick is notified and can lift it.

Collections agency relationship: Unknown per tech stack meeting. Open action item.

Short-Pay Handling

If the Shipper pays less than the invoice amount, see Step 5.3. Path B short-pays are resolved directly between Forza and the Shipper — no HaulPay intermediary.

Owner: Concetta (primary). Nick (credit hold decisions, collections escalation).

🤖 SYSTEM AUTOMATION:

QuickBooks-Online AR aging reports automate overdue-invoice visibility. Automated payment reminders can be configured in QuickBooks-Online for Day 1 / Day 8 notices. Day 15+ escalations remain human.

🛑 HARD GATE:

Path B Shippers who reach Day 15 without payment trigger a credit hold — no new loads book for a Shipper in credit hold status until the outstanding balance is resolved. Nick is notified immediately upon credit hold placement.

📍 Current State

  • Path B payments are rare. When they occur, payment arrives directly in Fifth-Third-Bank.
  • Same bank portal read-only issue for Concetta applies here — limits deposit visibility.
  • No documented Path B collection cadence.
  • No documented credit hold mechanics — informal today.
  • Collections agency relationship status unknown.

🚧 Gap

  1. Concetta’s bank portal access — same read-only blocker as Step 5.1.
  2. No documented Path B collection cadence — informal handling.
  3. No documented credit hold SOP — placement mechanics, Nick notification, lift conditions.
  4. Collections agency relationship status unknown.
  5. QuickBooks-Online automated payment reminders not confirmed configured.

🛠️ Gap Closure Actions

  • Update Concetta’s Fifth-Third-Bank permissions (same as Step 5.1 Gap Closure 1) Owner: Nick | Effort: External
  • Document Path B collection cadence as the standard self-finance collections SOP (extends self-finance policy from Step 1.3a) Owner: Casey + Concetta + Nick | Effort: Low
  • Document credit hold SOP — placement trigger, Nick notification, lift conditions, EZ-Loader mechanics for blocking new loads Owner: Casey + Concetta + Nick | Effort: Low
  • Confirm collections agency relationship status Owner: Concetta | Effort: Low
  • Configure QuickBooks-Online automated payment reminders for friendly Day 1 / Day 8 notices Owner: Concetta | Effort: Low
