Step 2.5 — Carrier Profile Review and Activation
Previous step: Step 2.4 + Step 2.4a (if applicable) Next step: Step 2.6 — Carrier Entry in HaulPay
Note
This is Concetta’s explicit sign-off that a carrier is ready. The status change to “Active” is the final gate of Phase 2 — only Active carriers can be dispatched.
🎯 Ideal State
Trigger: Accounting details verified (Step 2.4) and factoring company properly linked (Step 2.4a if needed).
Concetta reviews the complete carrier profile in MVMNT against this checklist:
Item Verified? Insurance information present and current (cargo + liability meeting Forza minimums, not expired) ☐ Carrier agreement signed and uploaded (via Highway) ☐ Accounting contact name, email, phone present ☐ Payment method declared (self-invoicing or factoring) ☐ W-9 on file ☐ MC# authority document on file ☐ Highway risk assessment acceptable (or Conditional with James approval documented) ☐ Carrier 411 Freight Guard report reviewed, concerns documented if any ☐ If factoring: factoring company linked in payee section (Step 2.4a) ☐ If factoring: NOA uploaded ☐ If self-invoicing: bank info / voided check on file ☐ If self-invoicing: payee name and address correct ☐ All items pass → Concetta changes carrier status in MVMNT from “Onboarding Signed” to “Active.”
Any item fails → Carrier stays in onboarding status. Concetta follows up with the carrier directly with a specific missing-item list: “We need your NOA from [factoring company] before we can dispatch you. Please send to [accounting email].”
Holding state escalation: If a carrier remains incomplete for more than 7 days, Concetta escalates to James (Ops Manager). James decides whether to continue pursuing the carrier or abandon the onboarding.
Owner: Concetta (review, activation, follow-up). Ops Manager seat vacant — 7-day escalation decisions to Nick.
🤖 SYSTEM AUTOMATION:
🛑 HARD GATE:
Carriers in “Onboarding Sent” or “Onboarding Signed” status cannot be assigned to loads. MVMNT enforces this automatically. The status change to “Active” is the final gate of Phase 2. There are no exceptions.
📍 Current State
- Profile review and activation happens but without a documented checklist — Concetta relies on memory and experience.
- The 7-day holding state threshold does not exist; incomplete carrier onboardings can sit indefinitely without escalation.
- No formal James (Ops Manager) escalation path for stalled onboardings.
- MVMNT’s automated gate for carrier status (blocking load assignment for non-Active carriers) is working — this is an effective control.
🚧 Gap
- No documented activation completeness checklist.
- No holding state policy with defined escalation threshold.
- No documented follow-up template for missing paperwork requests.
- No tracked metric for time-from-Highway-completion to MVMNT activation.
