Step 1.3 — HaulPay Shipper Profile Creation and Credit Check

Phase: Phase 1 — New Shipper Onboarding Owner: Accounting (profile creation and credit check receipt) · HaulPay (credit check execution) Trigger: Complete Shipper Onboarding Intake Form received (Step 1.1) and Sales intro email sent (Step 1.2).


🎯 Ideal State

Accounting creates the Shipper profile in HaulPay. This is the first external system entry. All data comes directly from the intake form — no re-collection, no re-typing from memory.

Credit check: Upon profile creation, HaulPay automatically runs a credit check on the Shipper. No additional action required from Accounting — it is triggered by the profile creation event.

Shipper billing detail confirmation: HaulPay offers billing detail confirmation outreach (via 562 area code call and/or @haulpay.io email). Forza can use HaulPay’s outreach service, handle it internally (Accounting does today), or combine it with the NOA acceptance into a single Forza-led communication. 🤖 SYSTEM AUTOMATION

Profile creation is human (data entry from intake form). Credit check is fully automated by HaulPay upon profile creation. The decision framework is policy-driven — Tier 1 and Tier 2 proceed without management involvement; Tier 3 requires Founder-CEO sign-off per Step-1.3a-Self-Finance-Decision-Path.

🛑 HARD GATE

Credit check result must be received and a decision made before proceeding to Step 1.4 (EZ-Loader profile creation). There is no point creating operational infrastructure for a Shipper who will ultimately be declined and walked away from.


📍 Current State

  • Accounting creates Shipper profiles in HaulPay manually when notified (often informally) that a new Shipper is coming on.
  • Data is sometimes copied from emails rather than a structured intake form — data quality is inconsistent, causing mismatches between HaulPay and EZ-Loader that create downstream reconciliation issues.
  • HaulPay offers Shipper billing detail confirmation outreach as part of their standard service, but Accounting has opted to handle this in-house. Accounting combines billing confirmation and NOA acceptance into a single outreach email — documented in Step-1.8-Debtor-Verification-NOA-Outreach.
  • Tier 3 declines are handled ad hoc. No formal self-finance approval process. No documented approval, no tracked exposure, no written decision record.

Who does this today: Accounting.

  • Data for HaulPay profile creation is not sourced from a single structured intake — data quality is variable.
  • No formal decision process for Tier 3 declines.
  • No systematic capture of HaulPay’s credit score when helpful for decision-making.
  • Debtor verification outreach quality is an open question — see Step-1.8-Debtor-Verification-NOA-Outreach.
